Collect real sign-off on expenses, deposits, and more

If your board signs off on expense reports, deposits, bank reconciliations, or new vendors, you can now do it all inside BeeKeeper instead of printing pages for a wet signature or forwarding a dozen emails.

Here’s how it works: pick who needs to review something and choose whether everyone has to say yes, or any set number of people is enough. Each reviewer gets an email with a link — they don’t need a BeeKeeper account or a password, they just click, read, and choose Accept, Reject, or Abstain (with a reason if they reject). If they answered by mistake, they can withdraw their own decision and it reopens for a fresh answer. Links stay good for a week, and you can resend one anytime or call off the whole request if plans change.

Every request, decision, and change is saved permanently on the item’s Activity Log — the same place your notes and comments now live together, so the full story of who said what is in one spot. If someone edits something important while it’s under review, like who a reimbursement is paid to, the signatures already collected are cleared and reviewers are asked again automatically. And an expense report can’t be paid while it’s still waiting on sign-off, or if it was rejected — the Pay button will tell you why it’s grayed out.

You’ll see a badge in the sidebar showing what’s waiting on you, and Approvals show up on your dashboard to-do list and in the weekly to-do email so nothing slips through the cracks. Signatures also print right on the expense report and reconciliation PDFs. Approvals are turned on by default, but you can switch them off anytime under Settings → Advanced Options.
