Expense reports now say how the submitter wants to be paid
When one of your volunteers submits an expense report, they can now tell you exactly how they’d like to be paid: a check they’ll pick up, a check mailed to them, Zelle, or a brand-new option, a direct payment to the vendor they bought from. That request shows up already selected when you open the approve window, so you don’t have to guess or track the person down to ask. You can still change it before you approve — it’s a request, not the final word.
Because a mailing address is only needed for a mailed check, we moved that question so it only shows up when someone actually picks that option. Zelle works the same simple way: enter the email or phone tied to your bank once, and we’ll remember it for next time, though it’s always easy to update.
Direct Payment to Vendor is for the times reimbursing your volunteer isn’t really the point — say, an order placed on the organization’s behalf that should just be paid straight to the store. Turn it on for your organization in Settings → Payment Methods, alongside the Zelle toggle, which has moved there too. When it’s used, the check and journal entry go out in the vendor’s name and address instead of the submitter’s, and the request is limited to one receipt to keep it simple.
We also gave every organization a short code — six easy-to-read letters and numbers — that a volunteer can type into the ReimburseBee app to find your group, right alongside the QR code and link you already share. You’ll find it on your Expense Reports Share screen. And nothing you already have is affected: expense reports submitted before this update simply show no payment method requested. The ReimburseBee mobile app will pick up this same payment step in an upcoming release — for now it’s live on the BeeKeeper website.
