Let vendors fill out their own W-9s and paperwork for you

Chasing vendors for a W-9 or a certificate of insurance is nobody’s favorite job. Now you can skip it. BeeKeeper can email the vendor a secure link, and they fill out their own profile and upload exactly the documents you asked for — no account or password needed on their end.

Here’s how it works: go to Vendors and click New Vendor, then choose Invite Vendor to register. Pick which documents you need (W-9, certificate of insurance, workers’ comp, whatever applies), and BeeKeeper emails the vendor a link. They fill in their name, EIN, and address, and upload every document you asked for — all of it goes in together, so you never end up with a half-finished record. You’ll get an email the moment they’re done, and the vendor is added to your list automatically.

Already have a vendor on file but need updated info or a fresh document? Open that vendor and click Request Update — same secure link, same all-in-one submission, and you’ll see the request waiting for a response right on the vendor’s page. You can resend the link or cancel it at any time, and your Vendors list shows every invitation that’s still pending a reply.

This is a great way to onboard a new coach, DJ, or contractor without a single back-and-forth email, and to keep your W-9s and insurance certificates current without doing the typing yourself.
