Track workers' comp coverage, W-9s, and more for every vendor

If you hire contractors — a DJ, a photographer, sports officials, a cleaning crew — some of them are required to carry workers’ compensation insurance before they can step on campus. Keeping track of who needs it, and whether their coverage is still current, used to mean a folder of PDFs and a lot of memory. Now BeeKeeper does it for you.

Every vendor’s page now has a Documents panel where you can attach W-9s, certificates of insurance, workers’ comp certificates, contracts, and more — each with its own expiration date. Check a vendor as Requires Workers’ Comp and BeeKeeper flags them with a badge on their profile and in your vendor list, so you always know at a glance who needs coverage on file.

There’s also a brand-new Workers’ Compensation report under Reports. Pick a coverage year and see every vendor who’s supposed to carry workers’ comp, how much you’ve paid them during that policy year, and whether a current, unexpired certificate is on file — so you can catch a lapsed policy before it becomes a real problem, instead of after.

While we were in there, we also gave 1099-NEC tracking a tune-up: instead of marking individual accounting categories as reportable, you now just check 1099-NEC Reportable on the vendor itself, and the Form 1099-NEC report shows you whether their W-9 is on file. One flag, one place to look.
