FutureFund Payouts
Why Connect FutureFund?
If your group runs fundraisers or sells memberships through FutureFund, you already know the drill: a payout hits your bank account, and then someone has to figure out what it was for and enter it into your books by hand.
Connecting FutureFund to BeeKeeper skips that step. Once connected:
- Payouts book themselves: each FutureFund deposit becomes a balanced journal entry automatically
- Campaigns go where they belong: you decide which BeeKeeper income account each fundraiser or campaign credits
- Nothing falls through the cracks: anything you haven’t mapped lands in a catch-all account you choose
- Fees can be tracked separately: if your FutureFund account absorbs processing fees, you can record them to their own expense account instead of just seeing the smaller net deposit
Connecting Your Account
- Go to Settings > FutureFund
- Click Connect FutureFund
- You’ll be taken to FutureFund to sign in and approve the connection
- You’ll land back on the FutureFund settings page in BeeKeeper, now connected
Setting Up Mapping
Once connected, tell BeeKeeper how to book payouts:
Checking Account
Choose the BeeKeeper asset account your FutureFund deposits land in — this is the account that gets debited (increased) every time a payout is recorded.
Catch-All Income Account
Choose an income account for anything that isn’t specifically mapped: campaigns you haven’t assigned yet, or activity that FutureFund labels as “External.” BeeKeeper creates a “FutureFund” income account for you automatically the first time you connect, but you can point this at a different account instead. This field can’t be left blank, so nothing ever has nowhere to go.
Campaign Mapping
Below the account settings, you’ll see every campaign FutureFund knows about for your organization. For each one, you can:
- Optionally choose an Activity to tie the campaign to (this filters the account list to accounts used by that activity)
- Choose the Account that campaign’s income should be credited to
Leave a campaign’s account blank and its payouts fall into your catch-all account instead. For example, map “Fall Festival” to your Fall Festival income account and “Spirit Wear Sale” to your Spirit Wear account — payouts from each campaign will land in the right place automatically.
Click Save to store your mapping. You can come back and change it any time — updates apply to future payouts.
Processing Fees (Optional)
If your FutureFund account covers card processing fees, you can pick a Processing Fees Expense Account. With this set, BeeKeeper records income at the full sale amount and books the fee separately as an expense, instead of only recording the smaller net deposit.
Example: A campaign brings in $500 in sales, and FutureFund’s processing fee is $15, so $485 actually hits your bank account.
- Without a fee account set: BeeKeeper records $485 of income (the net deposit)
- With a fee account set: BeeKeeper records $500 of income and $15 as a processing fee expense — the same $485 still lands in your checking account, but your books show the true picture of what you raised and what it cost
How Syncing Works
Every night, BeeKeeper checks FutureFund for any payouts that have gone through and records them automatically. Each payout becomes one balanced journal entry: your checking account is debited for the deposit, and each campaign’s mapped income account (or the catch-all) is credited.
Don’t want to wait for the overnight run? Click Sync Now on the FutureFund settings page to pull in the latest payouts immediately.
Each payout is only ever recorded once — running a sync again won’t create duplicates.
Reconnecting
FutureFund authorizations occasionally need to be renewed. If yours expires, the FutureFund settings page shows a Reconnect required status. Click Reconnect and sign in again to FutureFund — your account and campaign mappings stay exactly as you left them.
Disconnecting
Go to Settings > FutureFund and click Disconnect. This stops future payouts from syncing, but any journal entries already recorded stay in your books. You can reconnect at any time.
Common Questions
Do I need to map every campaign right away? No. Anything unmapped goes to your catch-all income account, so you can start syncing right away and refine your mapping over time.
What if a campaign isn’t showing up in the mapping list yet? BeeKeeper fetches your campaign list live from FutureFund. If a campaign is brand new, give it a little time or refresh the settings page.
Does this let FutureFund move money in BeeKeeper, or BeeKeeper move money in FutureFund? No. The connection only shares payout information so BeeKeeper can record entries — no money movement happens through this connection.
What happens to the Processing Fees Expense Account setting if I don’t select one? Nothing changes — payouts are recorded at the net (deposited) amount, same as before this feature existed.
Can I use this alongside a bank connection for the same checking account? Yes. FutureFund payouts and your regular bank feed both post to the same checking account; just make sure you’re not entering the same deposit twice by hand.
