Team and Organizations
Why Teams Matter
Your events and address books don’t belong to just you — they belong to your organization, and everyone on it can create and manage every event. That means you can hand off a bake sale to next year’s committee, bring in a co-chair mid-year, or split the work across your whole board, without anyone sharing a password or losing access to what they’ve already built.
Every HelpOut account starts with its own organization, usually named after you (like “Liz’s Organization”). If you never invite anyone, nothing changes — it works exactly like an account that belongs only to you.
Inviting Someone to Your Team
- Click Team in the left sidebar.
- Click Invite.
- Enter their name and email address.
- Click Invite.
HelpOut emails them an invitation, but they don’t have to wait for it or click anything in it. The moment you send the invite, they’re a full member of your team — if they go straight to helpout.us and sign in on their own, your events and address books are already there waiting for them.
Understanding the Pending Badge
Someone shows Pending on the Team page until the first time they sign in. It’s just a status, not a lock — they have full access to the team from the moment you invite them, whether or not they’ve signed in yet.
If an invitation email never arrived, got caught in a spam folder, or expired, click Resend next to their name. This also works if they signed in before their invitation ever went out.
Removing Someone or Leaving a Team
To remove someone from your team, click Remove next to their name on the Team page and confirm. This doesn’t delete anything they created — their events and address books stay with the team, and another teammate becomes the organizer on any events that were theirs.
If you’re the one leaving, click Leave next to your own name. A team always needs at least one person on it, so you can’t leave (or remove the last remaining person) if you’re the only member — invite someone else first, or the events and address book stay put until you do.
Renaming Your Organization
Click Settings in the left sidebar, update the name, and save. This is a good idea as soon as you invite anyone else — “Lincoln Elementary PTA” is a lot clearer to a new teammate than the default name HelpOut gave you when you signed up.
Switching Between Organizations
If you help out with more than one school or group, you can belong to more than one organization. Click your organization’s name at the very bottom of the left sidebar to:
- Switch Organizations — jump to a different team you belong to, along with its own events and address books
- Create Organization — start a brand new team from scratch
Each organization keeps its own separate events, address books, and team members — nothing crosses over between them.
What Doesn’t Change
The link you share for an event (helpout.us/events/your-event-name) is exactly the same as always, no matter who on your team created it or who manages it now. Only the pages you and your teammates use to run things — Events, Address Book, Team, and Settings — now include your organization, so old bookmarks to those pages may need re-saving.
