Sign Up! (Time Slots)
What It’s For
A Sign Up! event is a schedule. You lay out blocks of time, put one or more positions in each block, and guests claim the slot that works for them. Use it for parent-teacher conferences, volunteer shifts, carpool schedules, tryout times, and anything else where people need to be somewhere at a specific time.
Setting One Up
- Go to Events > Create Event.
- Choose Sign Up! and click Next.
- Fill in the title and description.
- Under Slots, build your schedule.
- Click Finish.
Building the Schedule
Each block of time has:
| Setting | Notes |
|---|---|
| Start Date/Time | When this block begins |
| Duration (minutes) | How long it runs. Defaults to 30 and steps in 15-minute increments. |
Inside each block you add the positions available at that time. Each position has a Name and a Qty — how many people can claim it. Set Qty to 0 for no limit.
Click Add Item to add another position to a block. Click Add Slot for another block of time. Delete Slot removes a whole block.
An Example
Parent-teacher conferences on two afternoons, 20 minutes each:
- Tuesday 3:00 PM, 20 minutes — Conference (Qty 1)
- Tuesday 3:20 PM, 20 minutes — Conference (Qty 1)
- Tuesday 3:40 PM, 20 minutes — Conference (Qty 1)
Add a block for each appointment time. Every parent picks an open one, and each closes as soon as it’s taken.
A Second Example
A carnival needing volunteers across two shifts:
- Saturday 10:00 AM, 120 minutes — Ticket Booth (Qty 2), Ring Toss (Qty 2), Setup (Qty 4)
- Saturday 12:00 PM, 120 minutes — Ticket Booth (Qty 2), Ring Toss (Qty 2), Cleanup (Qty 4)
One block per shift, with every station listed inside it.
What Guests See
Guests see the schedule grouped by date, with the time range shown beside each position. Full positions are crossed out and can’t be selected. Initials beside a slot show who has already claimed it.
A guest checks the slot they want, enters their name and email, and clicks Sign Up. They get a confirmation email with what they signed up for and when, and their confirmation page has an Edit Response button for changing to another slot later.
Once every slot is full, the page says “Looks like everything is covered for this event!”
Reading the Results
Click the Entries tab. Sign-ups appear as a schedule — grouped by date, then by position, with the name and email of whoever claimed each one.
Click Download for a spreadsheet with Name, Email, Items, and Response Date, where each slot is listed with its date and time.
To free up a single slot without deleting a person’s whole response, click the trash icon on that row in the Entries tab.
