What Address Books Are For

An address book is a saved list of people. Build one once — your team roster, your room parents, your board — and you can invite the whole list to any event in two clicks instead of pasting addresses every time.

Address books belong to your team, not to one person or one event. Anyone on your team can use the same list for any event, and everyone sees the same address books — there’s nothing to hand off or recreate when someone new joins.

Creating an Address Book

1. Click Address Book in the left sidebar.
2. Click Create Address Book.
3. Give it a name (up to 50 characters) and save.

Name them for the group, not the event: “5th Grade Families” works better than “Fall Party.”

Adding Contacts

Open the address book and use the Add Address form at the top:

1. Enter the contact’s name (up to 50 characters).
2. Enter their email address.
3. Click Add Address.

The contact appears in the list below, sorted by name, and the form clears so you can add the next one.

Editing and Removing Contacts

Click a contact to edit their name or email, then click Update Contact. To remove someone, click the delete icon on their row and confirm.

Removing a contact doesn’t cancel invitations already sent to them.

Using an Address Book to Invite People

1. Open your event and click Share.
2. Click Select from Address Book.
3. Check one or more address books.
4. Click Send Invitations.

Everyone in every book you checked gets an invitation. You can select several books at once — if the same person is in two of them, they only get one invitation.

Deleting an Address Book

Open the address book and delete it from there. This removes the book and all the contacts inside it for your whole team. Invitations already sent from it are unaffected.

Keeping Lists Current

Nothing syncs an address book automatically — it’s your team’s list to maintain together. Two habits that help:

• After a roster change, update the book right away rather than at the next event
• When invitations bounce on the Share tab, fix that address in the address book so it doesn’t bounce again next time
