Show Up! (RSVP Events)

Collect RSVPs and a headcount. Guests answer Yes, Maybe, or No, tell you how many are coming, and get a calendar invitation.

What It’s For

A Show Up! event answers one question: who is coming, and how many people are they bringing? Use it for back-to-school night, a team meeting, a family game night, or any event where you need a headcount but not a list of assignments.

Setting One Up

  1. Go to Events > Create Event.
  2. Choose Show Up! and click Next.
  3. Fill in the details and click Finish.

Location Optional. Becomes a Google Maps link for guests, or paste a web address for a virtual event.

What Guests See

Your guests open the link and see your title, image, description, date, and location, followed by an RSVP form:

  • Yes, I will attend / Maybe / Sorry, can’t make it
  • Number of Attendees — 1 through 10, including themselves
  • Their name and email address
  • An optional message to you

They don’t need an account and they don’t need to sign in.

After they respond they land on a thank-you page confirming the date, with buttons to Edit Response if their plans change or add a New Response for someone else in the family.

Confirmations and Reminders

On responding, the guest gets a confirmation email with a calendar file attached, so the event drops straight into Apple Calendar, Google Calendar, or Outlook. Replies to that email go to you.

Within 12 hours of the event, HelpOut sends a reminder email to everyone who answered Yes or Maybe. People who answered No are not reminded. This happens automatically — there is nothing to turn on.

Reading the Results

Click the Entries tab. At the top you’ll see three counts — Yes, Maybe, and No — followed by responders grouped under each heading.

The Yes and Maybe counts are totals of the Number of Attendees everyone entered, not a count of responses. Two families answering Yes with 4 attendees each shows as 8.

Each response shows the guest’s name, email address, and any message they left. Click Download to get everything as a spreadsheet with Name, Email, RSVP, Message, Attendees, and Response Date.

The page refreshes on its own as answers arrive, so you can leave it open during a push.
