Send emails to groups across the entire state PTA organization

Overview

Messaging at the state level is a powerful communication tool that lets you reach any group across your entire PTA organization with a single email. Whether you need to send a statewide announcement to every PTA member or a targeted update to just district administrators, the messaging feature has predefined recipient groups that make it easy.

State-level messaging uses the same rich compose experience available at other levels — including rich text formatting, file attachments, and the ability to schedule messages for future delivery.

How to Send a Message

  1. Navigate to Messaging from the state-level sidebar.
  2. Click Compose to start a new message.
  3. Select your recipient group from the predefined options:
    • All District Administrators — reaches every admin at the district level
    • All Council Administrators — reaches every admin at the council level
    • All Unit Administrators — reaches every admin at the unit level
    • All Unit Board Members — reaches all board members across every unit
    • All PTA Members — reaches every registered PTA member statewide
    • All Administrators — reaches district, council, and unit admins combined
  4. Compose your message using the rich text editor. You can format text, add links, and structure your content.
  5. Attach files if needed by using the attachment controls.
  6. To send immediately, click Send. To deliver at a specific date and time, use the schedule option.
  7. Review sent messages in your messaging history to confirm delivery.

Additional Features

  • Predefined recipient groups: No need to build mailing lists manually — groups are automatically populated based on roles across the hierarchy
  • Rich text editor: Format your messages with headings, bold, italics, lists, and links for professional communications
  • File attachments: Include documents, PDFs, images, or other files directly in your message
  • Scheduled delivery: Compose messages ahead of time and schedule them to send at the optimal moment
  • Message history: Review all previously sent messages to track communications

Tips

  • Use All Administrators when you need to reach leadership at every level simultaneously — it combines district, council, and unit admins into one group.
  • Schedule important announcements for Tuesday or Wednesday mornings for the best open rates — avoid Mondays and Fridays when inboxes are busiest.
  • For compliance reminders, pair messaging with the Tasks feature: send a reminder to the relevant group, then track completion through Tasks.
  • Double-check your recipient group before sending — statewide messages reach a large audience and cannot be recalled once sent.
  • Use All PTA Members sparingly and for truly statewide announcements, as it reaches every member in the system.
