Connecting Your Unit to FutureFund (Membership Sync)

How FutureFund Connect automatically links your unit to its FutureFund fundraising account so members sync in without any setup, plus how syncing works.

Let FutureFund keep your member list up to date

If your unit sells memberships on FutureFund (our fundraising and selling platform), you don’t need to do anything to link the two — FutureFund Connect automatically finds and connects your unit’s FutureFund account for you, every night. Once connected, your members flow into Connect automatically, so you never have to add or import them by hand.

Availability: membership sync is currently enabled for California PTA units. Other state PTAs will be added as we roll the feature out state by state. If you’re outside California, keep managing your member list directly in Connect.

What you’ll need first

Connecting works by matching your unit’s EIN (your tax ID number) to your FutureFund account. Make sure your unit’s EIN is saved in Connect and that you have a FutureFund account with at least one membership campaign.

  • Your unit also needs to be in active status. Units that are suspended, pending, or otherwise inactive aren’t matched.
  • If your unit has no EIN yet, you won’t be matched automatically. Reach out to your council, district, or state PTA to get it added.
  • If you don’t have a FutureFund account yet, you can create one for free — see the note below.

How connecting works

You don’t need to search for your account or pick campaigns — Connect handles it automatically:

  1. Every night, Connect looks for active units with an EIN that matches a FutureFund account.
  2. When it finds a match, it connects your unit and pulls in members from every membership campaign your unit runs on FutureFund.
  3. Any new campaigns you add later are picked up automatically on the next sync — there’s nothing to select or update.

If you already have an EIN on file and a FutureFund account, just check your unit’s Memberships page in the next day or so and you’ll see the connection appear on its own.

How syncing keeps working

You don’t have to do anything to stay up to date:

  • A sync runs every night (around 3:30 AM Pacific) so new members and changes appear in Connect on their own.
  • Members are imported automatically from all of your unit’s FutureFund membership campaigns.
  • Only the current school year is synced. Connect pulls memberships sold on or after your unit’s fiscal-year start (July 1 by default). Earlier sales belong to a prior year’s roster and aren’t re-imported.
  • To add or edit members, you do it in FutureFund. Those changes then flow back into Connect on the next sync — including removals, which are taken off your Connect list too.
  • If your unit’s FutureFund account ever changes (for example, a new account is created for the same EIN), Connect notices and re-matches the connection automatically.

There is no manual “sync now” button — the nightly run is the only sync, and it’s designed so you never have to think about it. If something looks wrong and you can’t wait, contact FutureFund support.

What changes on your Memberships page

While your unit is connected, FutureFund is in charge of your member list, so a few things change to keep everyone in sync:

  • A green banner appears on Memberships: Memberships sync automatically from FutureFund every night, along with how long ago the last sync ran.
  • The Add Member and Import Members options are removed from the Actions menu. (To add members, use FutureFund.)
  • Individual members synced from FutureFund are read-only in Connect. Open one and you’ll see a note reading Synced from FutureFund (Edit in FutureFund to make changes), and the Edit and Delete buttons are gone.
  • You can still Export Members to a spreadsheet at any time.
  • Until the first sync brings anyone in, the page reads Members synced from FutureFund will appear here.

This is intentional. It keeps one trusted copy of your member list and prevents accidental changes from getting out of sync.

If your unit stops matching

If your unit’s EIN no longer matches a FutureFund account — the EIN changed, the unit went inactive, or the FutureFund account was closed — Connect safely disconnects the sync rather than leaving it pointing at the wrong account. The members already synced into Connect stay on your list; they simply won’t be updated anymore. Your Add Member and Import Members options become available again, so you can manage your list directly in Connect.
