Messaging
Send emails to board members and PTA members from your unit

Overview

Messaging in FutureFund Connect lets your unit communicate with board members and PTA members directly from the platform. Messages are used both for manual outreach — such as announcements and updates — and for automatic notifications when tasks are assigned or updated.

All messages are sent via email and are also viewable within the app. You can send messages immediately or schedule them for later, and track delivery status to confirm your communications are reaching their audience.

How to Send a Message

  1. Navigate to your unit’s Messages page from the main menu.
  2. Click New Message to compose a new email.
  3. Select your recipients: choose from board members, membership lists, or specific individuals.
  4. Compose your message using the rich text editor. You can format text, add links, and attach files (up to 15MB per attachment).
  5. Configure the Reply-To address so recipients can respond to the right person.
  6. Choose to Send Now or Schedule the message for a future date and time.
  7. Before sending to your full audience, use the Test Send feature to preview the email in your own inbox.
  8. Click Send to deliver the message.

Additional Features

  • Automatic Notifications: The system sends notifications when tasks are assigned, updated, approved, or rejected — no manual action required.
  • In-App Viewing: All messages are viewable within FutureFund Connect, so users can review past communications without searching their email.
  • Mark as Read: Recipients can mark messages as read to keep their inbox organized.
  • Delivery Tracking: After sending, view delivery status to see which recipients received your message.
  • Rich Text Editor: Format messages with bold, italic, lists, links, and more for professional-looking communications.
  • File Attachments: Attach documents, images, or other files up to 15MB each.
  • Scheduled Sending: Compose messages in advance and schedule them to send at the optimal time.
  • Test Send: Preview exactly what recipients will see by sending a test copy to yourself first.

Tips

  • Always use Test Send before sending to a large group to catch formatting issues or typos.
  • Set a meaningful Reply-To address so responses go to the right person (e.g., your unit president or secretary).
  • Schedule recurring communications (like monthly newsletters) in advance to stay consistent.
  • Check delivery tracking after sending important messages to verify they were received.
  • Keep attachments under the 15MB limit — for larger files, consider uploading them as documents and sharing a link instead.
