Events Calendar

Create a public events calendar for your school and share it with families using a link or QR code.

What Is the Events Calendar?

The Events Calendar lets you publish a calendar of school events, like dances, meetings, and fundraisers, that any parent can view without signing in. You manage it from your Admin, and families see it on a simple public page.

Turn it on in Admin > Account Settings > Website by checking “Show events calendar.”

Managing Events

  • In the Admin, navigate to Website > Events.
  • Click a day on the calendar to add a new event, or click an existing event to edit it.
  • Team members with edit access can create, update, and remove events. Read-only team members can view the calendar but won’t see the New event button.
  • Switch between Month, Week, and Schedule views to see events the way that’s most useful to you.

Events tied to a campaign (like a ticketed event) show a Read-only badge — edit those from the campaign they belong to instead.

Event Categories

When you add or edit an event, pick a category from the dropdown:

  • Deadline
  • Early Release
  • Event
  • Holiday
  • Meeting
  • No School
  • Other

Each category has its own color and icon, both in your Admin calendar and on the public calendar families see, so parents can tell what’s happening at a glance without clicking into every event.

Ticketed events and fundraiser dates aren’t in that dropdown because they fill in automatically (see below) — you never need to pick those by hand.

Events Fill In Automatically

You don’t have to add everything by hand. The calendar automatically includes:

  • Ticketed events from your campaigns
  • Fundraiser dates you’ve set on a pledge campaign
  • First Step registration open and close dates

These show up alongside anything you create yourself, so families always see the full picture.

Sharing Your Events Calendar

Click the Share button on the Events page to open a window with two ways to promote your calendar:

  • Events Page Link — a copyable link to your public events calendar. Paste it into an email, your school website, or social media. No sign-in is required for families to view it.
  • QR Code — download the code and add it to flyers, posters, or your newsletter so parents can scan their way straight to the calendar.

Both the link and QR code are evergreen: they aren’t tied to a specific school year, so you can reuse the same link and printed materials every year without them going stale.

Any team member, including read-only admins, can open the Share window and grab the link or QR code. Only creating and editing events requires edit access.

Subscribing From a Phone or Calendar App

Families viewing the public events calendar can also subscribe to it so new events show up right in their own calendar app. On the events page, they just tap Subscribe and choose Google Calendar, Apple Calendar, or Outlook (or copy the calendar link directly). Once subscribed, any event you add, move, or update on the calendar automatically appears on their phone or computer, no need to check back for updates.
