The campaign detail report provides a detailed record for every purchase for the specified campaign.

Campaign Detail Report

Accessing

To access the report, use one of the following methods:

  1. In the Admin, navigate to the appropriate item under Campaigns (Fundraisers, Memberships, Ticketing, or Products).
  2. Click the View button for the appropriate campaign.
  3. On the campaign’s Overview page, click Actions > Campaign Report.

Or:

  1. In the Admin, navigate to Orders & Payouts and click the Reports tab.
  2. Click Campaign Detail.
  3. Pick the campaign and the order date in the filter bar at the top of the report. The report updates as you choose.

At the top of the report:

  • View Campaign Orders opens the orders list for this campaign, using the same dates.
  • Export downloads the report as an Excel (.xlsx) file.
Want the same sales broken down by First Step, Store, SnackBar, and Manual instead of a line-by-line list? See [Sales by Channel](/futurefund/reports/sales-by-channel) on the campaign’s Overview page. The exported file has the same split row by row in its **Order Source** column (see below).

Filtering

The report is filterable by the following fields:

  • Order Date
  • Campaign
The Order Date filter limits the report to orders placed in that date range. Every column uses the same orders, so payments and refunds on those orders count even if they happened later.

Data Fields

The following fields are included in the report:

Column Description
Gross The sum of the purchased items of an order. This value does not include payment information (e.g., refunds, installments, failed payments, etc) nor is it affected by canceled order items.
Collected The sum of the paid transactions. This does not include refunds or canceled installment plans.
Refunds The sum of the refunded transactions. This is always a negative number.
Net Collected Amount - Refunded Amount - Fees = Net Amount.

The following fields are included when the report is exported:

Column Description
Order Number The number of the order.
Purchaser First Name, Last Name, Email Who placed the order.
Description The name of the campaign.
Quantity The quantity purchased.
Installment Plan The installment plan, if the order is paid in installments.
Options One column for each set of options on the campaign (for example, size or color), showing what was picked.
Event Title, Event Date, Section Ticket campaigns only. The event and seating section for each ticket.
Member First Name, Last Name The member named on a membership.
Teacher The teacher picked on the order, if the campaign asks for one.
Note The note to school left on the order.
Fees The sum of the fees for a set of transactions. This could be a negative or positive number. Transaction fees are calculated for each campaign with an accuracy +/- $0.01. The transaction fee of $0.30 is distributed evenly based on the dollar amount of the items. When a refund occurs, the transaction fee is refunded when the entire amount is refunded. This can result in irregularities in how the fee is distributed to the campaign.
Cancelled The amount of the order that was cancelled. Applies to installments payments.
Payment Method How the order was paid (see the table below).
Delivered Status of the delivery if the item needs fulfillment.
Date Ordered The date the order was placed.
Order Source Where the order came from (see the table below).
Student First, Middle, Last Name, Grade, Teacher The student the item was bought for, plus your student registration questions.
Parent 1–4 First name, last name, email, phone, and employer for up to four parents, plus your parent registration questions.
Number of Students Number of registered students. This will be zero for unregistered purchases.
Student 1–4 First name, middle name, last name, grade, teacher, and student ID for up to four students, plus your student registration questions.
Campaign Questions One column for each question on the campaign’s form.

Order Source

The Order Source column uses these values:

Value Where the order came from
online_store Store
registration First Step
snackbar SnackBar
admin Entered by an admin
cash_receipt Cash Receipt

Payment Method

The Payment Method column shows online for a card or bank payment and offline for cash or check. An order paid more than one way lists each, separated by a comma.

To split SnackBar card sales from SnackBar cash sales, filter Order Source to snackbar, then look at Payment Method: online is card, offline is cash.

Notes

  • When no Order Date is chosen, the report includes every purchase for the campaign.
  • Student information is included when the ‘Associate with Student’ option is enabled in the campaign.
  • Store orders will have student and parent information if the purchaser is registered for the current school session.
  • To check the file against the campaign’s totals, add up the Gross column rather than counting rows or adding up Quantity.

Export

This report is exportable in the following formats:

  • Excel File (.xlsx)
