Dues Apportionment

Our innovative solution tackles the challenge of dues apportionment head-on, automating the process to ensure accurate and timely deposits to the appropriate multi-level association.

Overview

Every PTA unit owes per-member dues to the PTA levels above it: National PTA, your state PTA, your district, and your council if you are in one. When a California PTA unit sells memberships through FutureFund, those dues are taken out of each online membership sale automatically and sent to the right PTA levels for you. There are no checks to write and no math to do.

Who it applies to

Dues apportionment turns on by itself when your organization’s EIN matches an active PTA unit in FutureFund Connect. When it’s on, you’ll see Dues Apportionment: Enabled on your organization and on its membership campaigns.

Only Membership campaigns withhold dues. Tiered Membership campaigns do not, so a membership sold from a tiered campaign pays your organization the full price.

Each membership price has to be more than the dues plus room for the card processing fee. If a price is too low, the campaign shows a message with the minimum when you save it.

What gets withheld

Dues are taken out of each membership paid online, before the money is deposited to your organization. The amount per membership is your unit’s dues schedule from Connect.

Dues are not withheld from:

  • Offline payments
  • Memberships you add by hand
  • Memberships you import

The dues for those members are not collected or sent by FutureFund.

Where to see it

Open the membership campaign under Campaigns. The PTA Dues Apportionment section shows which PTA unit the campaign is matched to and how much is withheld from each membership, followed by a table:

Column What it shows
Level National PTA, State PTA, District, or Council
Recipient The organization at that level
Per Membership Dues The amount withheld from each membership for that level
Dues Withheld to Date Everything withheld for that level so far

Dues Withheld to Date includes dues that have already been sent, so it is a running total, not an amount still waiting.

The Memberships Without Dues figure counts the memberships on the campaign that had nothing withheld, such as offline payments and imports.

When dues are sent

Withheld dues are sent once a month, on the 22nd, to each council, district, and state PTA that has set up payouts in FutureFund Connect. The deposit usually reaches their bank account around the 25th.

  • National PTA’s share is sent to your state PTA, which passes it on.
  • If a level hasn’t set up payouts yet, its dues are held until it does, then sent with the next monthly run.
  • If less than $5.00 is owed to a level in a month, it rolls over to the next month.

Your unit sees what has been withheld, but not each deposit. The council, district, or state PTA that receives the money sees every deposit on its Payouts page in Connect. See Receiving Payouts (Dues Apportionment).

Refunds and Disputes

If a membership is refunded or disputed, the full sale price is taken from your organization’s balance. The dues already withheld are not returned, since they are still owed to the PTA levels above you.
